We prefer to calculate our fees on the basis of two parameters:

  • the portion of general preparatory and coordination tasks which to a large extent is independent of the number of participants; for this we charge a fixed fee;

  • the portion of administrative work directly related to the number of participants (pro capita costs).

Upon request of the client, we further break up the fixed fee for the general work.

Our fees cover all the work done by our staff during the preparatory phases and by a clearly defined number of staff during the congress itself. Our fees include the standard office supplies (phone and fax within Belgium, electronic mail, use of office stationery, transportation costs within Belgium, standard copy costs, …).

All other expenditures for the event (such as special stationery, postage for sending of confirmation letters and other correspondence, badges, delegate wallets and envelopes, photocopies in large quantities, special printing, bank charges and credit card commissions, …) are at the expense of the client and should be provided for in the congress budget. Moreover, costs for international phonecalls and faxes are invoiced separately.

When the recruitment of sponsors is included in the tasks of Momentum, we prefer to charge a rate based upon the total amount paid by the sponsors.
